Email Aliases and Shared Addresses: Keep Ownership Clear

Organize aliases and shared business addresses with named owners, clear access rules, lifecycle reviews and a separate plan for quarantine permissions.

By Doz Teknoloji · Published · 3-minute read

Addresses such as sales, accounts and support often outlive the people who first created them. Without a clear owner, a useful shared address can become an unmanaged business dependency. The first administrative task is to distinguish the public address from the mailbox, people and permissions behind it.

Start with the address purpose

An alias generally provides another address leading to an existing destination. A shared address may be implemented as a mailbox, a group or another routing arrangement. The label used by a team does not establish how it is configured. Check the actual destination before documenting its behavior.

For each important address, record its purpose, business owner, technical owner and intended recipients. Include websites, printed material and automated systems that publish or use it. This makes a later change easier to assess.

Separate receiving from sending permissions

A person who receives messages sent to an address may not have permission to send using that address. Likewise, permission to send should not automatically imply unrestricted access to all historical messages. Document the expected workflow before assigning access.

Use named accounts and supported delegation where the mailbox platform permits it. A shared password makes individual accountability and offboarding harder. The right arrangement depends on the platform, but the business should be able to identify who can read and who can send.

Include quarantine access in the design

If incoming mail passes through security quarantine, confirm who can review held messages for a shared address or alias. A message can be accepted for inspection without becoming visible to every person who uses the final mailbox. Test the intended user view instead of assuming that mailbox permissions are automatically mirrored.

SecuraWall Email Security supports quarantine user management through manual setup, CSV import and supported connectors. The organization still needs an ownership decision for shared addresses and linked aliases. Provisioning a user is not a substitute for deciding what that user should access.

Plan changes and departures

Keep a small register of exceptions, such as an address retained temporarily for an old contract. Give each exception an owner and a review date. Otherwise temporary arrangements tend to become permanent without anyone deliberately accepting responsibility.

Test with a real workflow

Send a labeled message from outside the organization, verify the correct recipients can see it and confirm that an authorized person can reply as intended. Where quarantine applies, include a controlled held-message review. Record the result and any permission changes.

Review the Email Security service for quarantine scope, and use the migration checklist when shared addresses are moving between systems.
